Voicemail Boxes Overview
Voicemail boxes allow callers to leave a voice message. The voicemail box can be setup to send voicemail-to-email as well as play a customized voicemail announcement/greeting. The customized greeting is played when the mail box answers. All messages are sent to the email address on file and then removed from the system. Messages left by callers are not stored on the system.
You can play back the existing announcement/greeting or upload new audio. To save the existing audio, select the More Information Icon(
) and click Download.
Voicemail messages can also be heard/reviewed by calling your voicemail box and entering the PIN number that is associated with your voicemail box.
Recordings can be in any audio or video format under 10MB.
How to Add a New Voicemail Box
When adding a new voicemail box, the add new voicemail form will require you to enter information regarding the name, PIN, and notification emails of the voicemail box.
- Enter a Name for the voicemail box to identify it from all existing voicemail box records (e.g. 'John Doe VM')
- A PIN allows you to access your voicemail messages by calling in from your phone. The pin should be between 4 to 12 digits (e.g. '1234')
- The notifications section is where you can specify the emails that should receive the voicemail notifications. Enter the email address where you would like to receive voicemails. You can enter multiple Notification emails to receive the voicemail message.
Once you have selected/clicked on the Save button, go back to the Voicemail boxes table within the Voicemail boxes section of your instance home page.
Changing Your Voicemail Box Announcement
Select the newly added voicemail box by either clicking on the Edit icon associated with the record or the Name. Once you access the edit form, the announcement section and the audio file upload section are displayed.
You can listen to the existing automated voicemail box announcement in the announcement section of the edit form. If you prefer to keep this announcement, then select the Save button. This is the announcement a caller will hear when they are directed to your voicemail box message. If you prefer to change the existing announcement to your own personally tailored announcement, select the Choose File button and upload your desired announcement audio file.
Once you have uploaded the audio file, select the Save button. If the upload is successful, a confirmation message verifying that the resource was saved successfully will be displayed on the screen. You can listen to the audio recording by selecting the voicemail box record once again from the Voicemail boxes table and selecting the play icon in the announcement section.
